Documents & Resources

The paperwork side of running Cogame at your centre โ€” what each document is for, who signs it, and where to find it.

Published documents

These apply to every centre and are always available at the links below.

Privacy Policy

What information Cogame collects, how it is used and shared, where it is stored, and the rights participants have in Singapore and California.

Terms of Use

The agreement between your centre and Cogame โ€” accounts, acceptable use, billing, and what each side is responsible for.

Refund Policy

How billing periods, cancellations and refunds work for centres that pay Cogame directly.

Administrators are asked to accept the Privacy Policy and Terms of Use the first time they open the dashboard, and again whenever a new version is published. Each acceptance is recorded with its version and date.

Available from us

These are prepared for your centre individually, because they carry your organisation's name and need to fit how you already work. Ask your Cogame contact, or write to contact@cogame.ai.

Data Processing Agreement

Signed between your centre and Cogame. It records that your centre decides what participant information is collected, that Cogame processes it on your behalf as a data intermediary, and what happens to that information when your account ends.

On request

Participant consent form โ€” template

A one-page template your centre can adapt and have participants sign. It explains what is recorded during training โ€” including response times, movement statistics from camera-based games, and the synthesised spoken greeting that uses the participant's name โ€” and includes space for a family member or representative to sign where a participant cannot.

On request

Your centre โ€” not Cogame โ€” decides which participants take part and obtains their consent. That is why the consent form carries your centre's name and why we provide a template rather than a finished document: you will want to match it to the consent paperwork you already use, and to have your own adviser look at it.

Points worth keeping when you adapt it:

  • Say what is actually recorded. Scores are the obvious part, but training also records how quickly someone responds and how they move during camera-based games.
  • Be clear about the camera. Pictures and video are never saved or sent anywhere โ€” only movement statistics from the game are kept. Participants ask about this, and the plain answer settles it.
  • Keep the "this is not a medical test" line. Cogame is a wellness and engagement programme. It does not diagnose, screen for, or predict any condition, and the form should not suggest otherwise.
  • Include a space for a representative. Some participants cannot give consent themselves, and a form without that space stalls at the first person who needs it.
  • Make the optional parts optional. A participant can take part without using voice check-in and without naming a family member to receive summaries.

For everything else, including billing and account questions, write to contact@cogame.ai. If your centre is managed by a partner, they are the fastest route for pricing and invoices.
